Simply Being Organized

Some people like to be organized, and others aren’t bothered.

Some people enjoy the thrill (?) of being disorganized – getting high on the adrenalin rush when things go wrong.

Either way, when managing a smaller business they’ll probably end up with a similar approach to keeping records of customers, schedules, tasks.  Some will even extend the “system” to manage invoices and cash.

They’ll use a combination of email folders, contact lists, task lists, spreadsheets and calendars, to understand what’s happened, or is planned to.

This can work pretty well, especially when supplemented with some paper notes, an ability to focus the memory, and some nifty footwork when things go wrong.

It would be nice to have a “system” which puts everything in the right place, but that needs a whole new level of effort – investigating all that “small business software” out there, sorting the facts from the marketing guys imagination, figuring out which is the best and how to use it.

Much better to stay with what’s there now, and cope with the limitations.

Unfortunately there’s a problem.  Having information spread around between computer files, paper notes, and our memory’s gets to limit ability to win and service customers. Ultimately, the entrepreneur gets to be so busy remembering what to do, and where the information is stored, he/she doesn’t get any “down time”.

Worse still, there’s less time to focus on the real business, sales and customer service suffer, and stress levels go through the roof.

It’s time to get organized, with a system that doesn’t forget.  Not a big, expensive, complex system.  Just something that organizes.

This explains the success of GTD systems and Notes applications.  Ultimately everybody gets driven to it.

But, these systems still don’t quite cut the mustard.  They don’t help keep the information in context.  There are still lots of gaps between the stools. Sharing with partners and associates gets really tough.
